How to merge multiple Safari windows (and why you should)

It never ceases to amaze me how out of control the desktop version of Apple's Safari can get when it comes to open windows. I'll have one window open, and I'll click on a link from Apple Mail, only to find it opens a new window. 

Even if I have Safari configured to open all links in the current window, sometimes it'll behave and sometimes it won't. The end result is that I can wind up with multiple Safari windows open and I then have to try and navigate between them.

If this happens to you regularly, you'll understand how frustrating it can be. And prior to stumbling onto a handy feature to help wrangle those windows, I was doing a lot of copying links, pasting those links into another window, and closing the extra Safari instance. That process is not remotely efficient -- and I'm not a fan of inefficiency. 

Fortunately, there's a built-in feature that makes it very easy to merge every Safari window you have open. The one caveat to be aware of is that the feature merges every single open Safari window . That means if you need to have two different windows open -- such as one for writing and one for research -- and you merge Safari windows, you'll wind up with a single window.

If you have multiple Safari windows open (each with multiple tabs), you can always merge the windows, and then drag the tab you need to stand alone out of the lone window. There are always workarounds. 

I want to show you how easy it is to merge your Safari windows. No matter how many instances you have open when you complete this process, you'll wind up with only one. Ready to merge?

How to merge Safari windows

What you'll need:  The only thing you'll need for this process is an updated version of the Apple Safari browser on your desktop. I'll demonstrate this on version 16.5.2. This feature has been around for quite some time, so you won't have to have that exact version to merge your windows.

1. Open Safari

The first thing to do is open Safari. Once Safari is open, point it to a site like ZDNET.com.

Next, click File New Window to open a second window. You can then open however many tabs in both windows that you need.

In order to test this, you'll have to open multiple Safari windows.

2. Merge the windows

It doesn't matter which window has focus. Just make sure you click on one of the windows, so the Safari menu appears in the Menu Bar at the top of the screen.

Click Window > Merge All Windows. You should immediately have a single Safari window open, containing all of the tabs you had open across multiple windows.

Merging multiple windows in Safari is just a click away.

As I mentioned previously, if there's one particular tab in your now-merged window that needs to be separated, simply click and drag it out of the lone window and you're good to go.

Believe it or not, that's all there is to merging your Safari windows on MacOS. I've used this feature quite regularly to prevent me from having too many instances of Safari open on my MacBook Pro.

Too many windows open in Safari? If you want to get all of your tabs into one window, use this time-saving shortcut that will quickly merge all of the windows into one.

You could drag each tab individually to the same window to accomplish the same thing, but that can be tedious when you have numerous tabs and windows open. Luckily, Safari offers a merge windows option in the browser menu.

1. Click on the window you want to move all the other tabs to.

Merge all open windows into tabs in Safari with a keyboard shortcut

It's easy to find yourself in a sea of open web browser windows, but with Safari there's a great feature that lets you merge windows into tabs; just pull down the Window menu, select "Merge All Windows" and Safari will merge all the open windows into tabs, even if the open windows have their own tabs. To take that nice little feature a step further, you can turn it into a keyboard shortcut, that will let you instantly convert an ocean of windows into a single Safari window with just a keystroke.

• Open System Preferences from the Apple menu • Click on "Keyboard" and select the "Shortcuts" tab • Choose “App Shortcuts" from the list on the left, then click the [+] plus icon to add a new shortcut • Select "Safari" from the Application pull down list, then type "Merge All Windows" as the menu title • Finally, set the keyboard shortcut to use, we went with Control+Command+W as a variation of the common close windows command • Click "Add" then go back to Safari, open a few windows, and hit your keyboard shortcut to verify it worked

If you’re using Safari but you’re not using Tab Groups, well, it’s time to change that.

Tab Groups, as the name implies, allows you to group a selection of tabs together and essentially set them aside for future use. For example, if you have a bunch of tabs you use for work and a bunch of tabs you use after work, you can cordon these tabs off into batches so that they don’t get in each other’s way. You can use your work tabs at work and, when you’re finished, swap them for your “after work” tabs with just one click.

You might also have different Tab Groups for different assignments at work or different school projects. Folks who share a computer might have different Tab Groups for each user. The possibilities are endless.

Here’s how to create a tab group in Safari.

How to create Safari Tab Groups on macOS

There are a couple of ways to do this. The easiest method is to make a group out of whatever tabs you currently have open. If you’re about to close Safari but think you might need to pick up where you left off when you open it later, throwing your tabs into a group can give you some peace of mind.

You can also create a tab group from scratch if there is a batch of tabs you think you might want to use later. This is a bit more time-consuming but will allow you to be more selective about which tabs to include.

To create a tab group from existing tabs

• In Safari, click the down arrow in the toolbar. (It’s on the left side, next to the button that opens the sidebar.)
• Pick New Tab Group With [X] Tabs .
• In the left column, look for the Tab Group subhead. Name your tab group, then press Enter.

To create a tab group from scratch

• Click the down arrow in the toolbar. (It’s next to the button that opens the sidebar.)
• Pick New Empty Tab Group .
• Name your tab group, then press enter.
• Right-click a tab you want to add to the group, click Move to Tab Group , and select the tab group you want. Alternatively, you can click and drag the tab to your group on the left side.

To open your new tab group

• Click on that down arrow again.
• Click on the tab group you want.

Once you’ve got a group up and running, it’s not set in stone. You can adjust the makeup of a given tab group by clicking the arrow to its right in the sidebar’s tab group list. Right-click any tab that comes up, and you’ll have the option to remove it from the group, remove all tabs that aren’t it from the group, or move it to a different group,

You can also click the three dots just next to the arrow if you want to rename, delete, or share the group, along with other options.

How to create Safari Tab Groups on iOS

Tab Groups can sync between iOS and macOS devices, so if you create one on your Mac computer, you can still access it on your iPhone. Nevertheless, if it’s more convenient for you to create these from the Safari app on iOS, you can certainly do so.

• In the Safari app, click the tabs button on the bottom right. (It’s the one with two squares.)
• Press and hold a tab you want to add, then pick Move to Tab Group .
• Select New Tab Group .
• Name your new group.

How to Merge Safari Windows on Mac into Tabs

Window Merging works the same in Mac OS X Safari and Safari for Windows, here’s what you’ll want to do:

• From anywhere in Safari, pull down the “Window menu” and then select “Merge All Windows”

That’s all it takes, Safari will do it’s magic and merge all the open windows into tabs, even if the open windows have their own tabs.

The actual merging of windows can take a while if you have many tabs and windows open, so if you’re using Safari with a hundred plus windows and tabs don’t be surprised if the process is a bit sluggish to complete. But once it’s done, all the windows in Safari will be in a single window with tabs instead.

This trick effectively converts Safari browser windows into Safari browser tabs, which can be easier to manage for some Mac users.

Now your ocean of Safari windows will be merged into a single window with a lot of tabs instead, making it a bit easier to sort through and manage.

Tabs are a great feature and in many ways are far superior to individual web browser windows within Safari. By the way, you can help to prevent the million browser window problem by making new browser windows open into Tabs instead , an easy settings adjustment that can be made in the Safari browser.

I’m someone who’s got 125 tabs open in 25 different browser windows. What I’d LOVE is the ability to treat each BROWSER window as a set of tabs (where I can name each tab for a topic) and within that tab is another collection of related tabs.

I can’t tell from this description if this is close to what I’ll get when I do that “Merge All Windows” thing, or if I’ll end up with ONE browser window that has 125 tabs in it.

Also, what if you don’t want to “Merge All Windows”, but rather collect _some_ browser windows together, and leave others separate?

(I have 14 desktops / spaces where I keep things open for different things I’m working on. I do not want all of my browser windows mashed-up into one single browser window on one desktop! This might be a Good Idea for people who don’t know what Spaces are, but once you DO, it makes far less sense.)

I love the Merge All Windows shortcut. You can also create a keyboard shortcut for this by going to ‘System Preferences’, click on ‘Keyboard’, then ‘Application Shortcuts’. Hit the ‘+’ button, choose ‘Safari’, create a Title and add your preferred keyboard combination (I use ‘⇧ + +M’).

Leave it to Apple to build in an elegant solution to a common problem. You can drag tabs from one window to another in Chrome, but as there is a general lack of menu items in Chrome it could be a bit time consuming if (for whatever reason) you had many multiple windows instead of tabs in a single window.

Many web browsers allow you to sync tabs between devices. For example, Chrome on the desktop syncs with Chrome on your phone, etc. But what about syncing between different browsers? That's a little harder to do, but it's not impossible.

Apple Safari , Google Chrome , Mozilla Firefox , and Microsoft Edge all support syncing tabs across devices in their own way. However, that's not helpful if you use Firefox at work and Chrome at home. They can't talk to each other.

"Tab Session Manager" is an open-source extension that works with Chrome, Edge, and Firefox. It allows you to sync open tabs and windows between these different browsers. We'll show you how it works.

First, you'll need to download the extension for Chrome , Edge , or Firefox . Install it on all the browsers you want to sync together. The setup process is going to be the same on every browser.

Once the Tab Session Manager has been installed, open it from the extensions menu in your browser.

The Tab Session Manager window will open. Click the gear icon to begin setting it up.

There's a lot happening on the Settings page, but we're not going to be messing with all of it. First, give the device a name and check the "Save Device Name to Session" box. This will help identify where the tabs are from.

Next, make sure that "Save the Session Regularly" is checked. You can adjust how frequently you want the tabs to be synced and how many sessions will be stored at a time.

You can also set it so that the tabs are synced when you close a window or exit the browser. How much you have things synced is up to you.

The key ingredient to making this work between different browsers is cloud sync. By signing in with your Google account, you allow sessions to be backed up to your Google Drive and made available on other browsers.

Click "Sign in with Google" to proceed.

A message will inform you that Tab Session Manager is requesting permissions. Using this feature does require you to make some privacy sacrifices. Click "Allow" if you are fine with that.

Google's account sign-in window will open. Select your Google account and proceed to enter your credentials.

During sign-in, you'll be asked to grant Tab Session Manager permission to view and manage the data it creates in your Google Drive. Click "Allow."

That's all you need to do to set up tab syncing. Repeat these steps in every browser where you want to access the tabs.

To use Tab Session Manager, simply click the extension icon from the browser toolbar. You may need to click the sync button on the first launch.

Since we named each browser, you can easily see where the tabs are from. The title of each session is the active tab. Click a session to see all of the tabs to the right.

That's all there is to it. You may occasionally need to click the sync button to force an update, and it will ask you to sign back in to Google after a while. This may not be as simple as a built-in method, but it works if you use multiple browsers.

How to master Safari tabs in MacOS Monterey

There are a lot of useful ways you can use and manage tabs in the Safari web browser on MacOS. With a few settings hidden in preference panes and right-click menus, you can make your web browser much more effective and efficient in day-to-day use.

Things get interesting when you start using Safari’s Tab Groups , which were introduced with MacOS Monterey . These let you organize your tabs into related groups and then switch between them. For instance, you might have one group containing a few tabs for work, then a second group for news sites that you read during your lunch break. Switch from your news group to your work group, and all the news tabs are hidden. It’s like moving between two different Safari windows, but with less hassle. And even better, all your Tab Groups sync between your other Apple devices that are using the same Apple ID.

By default, Safari keeps the URL bar above the row of tabs you have open. However, you can merge the two so that clicking the active tab lets you enter a new web address directly into the tab.

To do so, click Safari > Preferences in your Mac menu bar. In the Preferences pane, click Tabs , then click Compact next to Tab Layout .

Don’t forget to check the other settings while you’re there. You can change how tabs behave, including whether new pages open in tabs or windows and whether the focus switches to a new tab as soon as you open it.

In most browsers, all your tabs are grouped together into one long stream. In situations like that, it can be easy to lose track of the different things you were working on in different tabs. Safari does things a little differently with its Tab Groups feature, which lets you create named groups of tabs and switch between them with ease.

To create a Tab Group, click the sidebar button in the top-left corner, then click the New Tab G roup button on the right of the sidebar. Next, choose whether you want the Tab Group to comprise your currently open tabs or to create a new, blank group. Give it a name, and you’re done.

Alternatively, you can create a Tab Group by right-clicking on any tab and clicking Move to Tab Group > New Tab Group . Or open the sidebar, right-click the X Tabs button (where X is the number of tabs you have open), then click New Tab Group with X Tabs .

When you switch between Tab Groups, the tabs in your previous group will be replaced by those in the new group. Don’t worry, they still exist, they’re just hidden. To move between Tab Groups, click the downward arrow next to the name of the group in the top-left corner, then click the name of a different Tab Group. Or simply click a different Tab Group in the sidebar.

You can add a tab to an existing Tab Group at any time by right-clicking it and clicking Move to Tab Group , then clicking the name of the destination group. Alternatively, open the sidebar, then drag and drop a tab from the main window into your desired Tab Group.

To remove a tab from a Tab Group (but still keep it open), right-click it and click Move to Tab Group > X Tabs , where X is the number of tabs this group contains. This will put the tab in an unnamed group of tabs located at the top of the sidebar.

You can rename a Tab Group by double-clicking its name in the sidebar or by right-clicking it and selecting Rename . Note that this only works with groups you have created, not the X Tabs Group at the top of the sidebar. To remove a group entirely, right-click it and click Delete . This will close all tabs contained in the group.

Step 4: Get a bird’s eye view

If you use a lot of tabs at once, it can be hard to find the one you want because tabs shrink in size the more you have open. However, there’s a quick way to get a bird’s eye view of your tabs. Just press Shift + Command , click View > Show Tab Overview  or click the Tab Overview button in the top-right corner of the Safari window (it looks like four squares arranged into a larger square). This will show all your tabs as large tiles. Just click one to make it the active tab.

Additionally, you can add a new tab to a Tab Group using the overview feature. Open the overview, then click the large Plus tile, and a new tab will open. And if you need to find a specific tab, open the overview and start typing. You will notice the cursor is active in a Search Tabs box in the top-right, and results will appear as you type.

Reordering your tabs is as easy as clicking and dragging one to a new place in the tab bar. There is another, more ordered way to do it, though. Right-click any tab, then click Arrange Tabs By and choose either Title or Website . This will arrange the tabs alphabetically either by tab name (the website title that’s shown in the tab) or by the website address.

Accidentally closed a tab? Not to worry — you can instantly reopen it by pressing Command + Z . Keep pressing it to keep reopening other tabs.

If there’s a specific tab you want to reopen, click History in the menu bar to see recently visited websites. Or click History > Recently Closed for a long list of recently closed tabs. You can even reopen tabs from days prior by clicking History , then choosing a date from the bottom of the menu and picking a tab.

To reopen a closed window, just press Shift + Command + T , or click History > Reopen Last Closed Window .

Want a quick way to switch between tabs? Just press Command + Shift + Right Arrow or Command + Shift + Left Arrow to move along the row of tabs. Alternatively, use Command + 1 to Command + 9 to switch to the tab that corresponds to each number. Both are great  Mac keyboard shortcuts that will save you time.

And if you have several Tab Groups open when you close Safari, the likelihood is you will want them open again when you next launch your web browser. To ensure they load when Safari opens, click Safari > Preferences in the menu bar, then click the General tab. Under Safari Opens With , click All Windows From Last Session .

How to Group Tabs in Chrome, Edge, Safari, and Firefox

Grouping tabs in Google Chrome is quite easy. To do so, right-click on any tab you want to add to a tab group. Select Add tab to new group and then name and color code your tab group. This helps you manage tab groups when you have multiple groups open.

To add more tabs to an existing group, drag and drop them near the tab group. Alternatively, right-click the tab you want to add to the group, click on Add tab to group , hover your mouse over it, and select the tab group where you want to add it.

If you use the same set of tabs frequently (perhaps for work), you can save the tab group in Chrome by right-clicking the tab group name in the tab bar and turning Save group on. Essentially, it is a bookmark of different tabs that you can access with a single click, and the saved tab group appears on your bookmark bar.

Like Chrome, Edge also lets you group tabs by right-clicking any tab and selecting Add tab to new group . In the same way, you can drag and drop tabs (once you've created a group) to add or remove them from the group.

However, Edge also offers another simpler way to group tabs. Click on the Tab actions menu icon (in the top-left corner) and select Organize Tabs . Edge then shows suggested tab groups, giving each of them a suitable name. If you need to change the tab groups, you can drag them into/out of the group. Then, click Group tabs , and voilà, your tabs are organized.

If you can't see the Tab actions menu, go to edge://settings/appearance, scroll down to Customize Toolbar, and turn on the Show tab actions menu .

Unfortunately, Firefox does not have a built-in feature for grouping tabs, so you'll have to resort to add-ons to manage multiple tabs in Firefox . Though there are several add-ons you can try, Simple Tab Groups is quite a popular and handy one.

Once you've downloaded the add-on, right-click any tab, select Move tab to the group , and then Create new group . Name the tab group and move all related tabs to the group.

Simple Tab Groups hides the grouped tabs from your window to declutter the screen. To access tab groups, click the extension icon and select Simple Tab Groups . From here, you can create new tab groups or click any existing tab group to open it. Right-clicking the group name shows more options, like discarding, exporting, or opening tabs in a new window.

You can also create a new group by clicking the extension icon , selecting Simple Tab Groups , and choosing Create new group .

Pin the extension to the toolbar to open tab groups quickly.

To create a tab group in Safari , follow these steps.

• Click the down icon (next to the sidebar icon) and select New Empty Tab Group if you don't want to add any tab to the group for now.
• If you already have tabs open, you can select New Tab Group with X Tabs to add all the open tabs to the newly-created group.
• Once you've created a tab group, Safari lets you rename it to your liking.
• You can also access the option to create a tab group by clicking on File .

Once you've organized all the tabs into groups, click the down arrow (beside the sidebar icon) to see all the different tab groups and select the one you want to open.

Use mail merge to send bulk email messages

To be able to send bulk email via mail merge, you must already have installed a MAPI-compatible email program such as Outlook or Gmail. 

The following process assumes that you already have the message you intend to send created and open in Microsoft Word. 

Prepare your main document

Go to Mailings > Start Mail Merge > E-mail Messages .

Set up your mailing list

The mailing list is your data source. For more information, see Data sources you can use for a mail merge .

If you don’t have a mailing list, you will be able to create one during mail merge. 

If you are using an Excel spreadsheet as your data source, format the ZIP/postal codes as text to avoid auto-deletion of any leading zeroes. For more information, see Format mail merge numbers, dates, and other values in Excel . 

If you want to use your Outlook contacts as a list source, make sure Outlook is your default email program and is the same version as Word.

Link your mailing list to your email message

Make sure your data source has a column for email addresses and that there is an email address for every intended recipient.

Go to Mailings > Select Recipients .

Choose a data source. For more information, see Data sources you can use for a mail merge .

Choose File > Save .

Add personalized content to the email message

Go to Mailings > Greeting Line .

Choose a format. 

Choose OK to insert the merge field.

You can add other fields from your data source to your email message. For more information about this, see Insert mail merge fields .

Note:  After inserting fields, you will need to format your email manually. 

To learn how to fix any missing part of your addresses or other fields, see Mail merge: Match Fields .

To change the font, size, or spacing of the merged content, select the merge field name and make the needed changes.

Preview and finish

Choose Finish & Merge > Send E-mail Messages .

In the To box, choose the email address column or field from your mailing list.

Note:  Word sends an individual message to each email address. You cannot CC or BCC other recipients. You cannot add attachments, but you can include links, 

In the Subject line box, type a subject line for the message.

In the Mail format box, choose  HTML (the default setting) or choose  Plain text to send the document as the body of the email message. 

Under Send records , select one of the following:

All records (default).

Current record only the record viewable on your screen is sent the message.

From and To send only a range of records .

Choose OK to run mail merge.

Save the personalized message (optional)

Go to File > Save . When you save the main document, you also save its connection to the data source. To reuse, open the document and answer Yes when prompted to keep the connection to the data source.

To be able to send bulk email via mail merge, you must already have installed a MAPI-compatible email program such as Outlook or Gmail.  

Create a main document in Word

Go to Mailings > Start Mail Merge > Email Messages .

In Word, created the email message that you intend to send.

The mailing list is your data source. For more info, see Data sources you can use for a mail merge .

If you don’t have a mailing list, you can create one during mail merge.

If you want to use your Outlook contacts, make sure Outlook is your default email program and is the same version as Word.

Make sure your data source has a column for email addresses and that there's an email address for each intended recipient. 

Choose a data source. For more info, see Data sources you can use for a mail merge .

Add and format merge fields

Go to Mailings > Insert Merge Field , and then choose the fields to add.

In your document, select Drag fields into this box or type text , and select the text to remove it.

Add and format the fields you want to be included in the email message, then select OK .

Preview and send

Go to Mailings > Preview Results to see how the email messages look.

To scroll through each email message, use the left and right arrow buttons on the Mailings tab. 

Select Preview Results again to add or remove merge fields.

When ready, go to Mailings > Finish & Merge > Merge to E-Mail .

Merge to E-Mail is unavailable if you have not selected your default email program.

Choose the To merge field, the subject, and whether to send as text, HTML, or as an attachment. When you send as an attachment, the email has no body text; instead, the message is sent as an attached document. 

Select Mail Merge To Outbox .

Missing tabs after split-screen merge

For the past few months, if I accidentally create a split-screen in Safari then within a few hours of merging the screen back together (the merged tab shows as the first open tab after the merge) almost all of my open tabs will be gone. I just went from 32 tabs (I had done a screen capture of which ones I had open after experience with this issue) down to 6. Checking my recently closed tabs doesn’t help. They don’t appear there. They are in my bookmarks, but unless I have a list of all the closed ones that doesn’t help as they may be ones that I visited days earlier but was keeping around for a purpose. I have my Safari setting set as close tabs manually.

• Losing tabs in Safari When are Apple going to do something about disappearing tabs. I thought the worst of the problem had disappeared but twice in the last 24 hours I've lost all open tabs again. Is this double window really usefull/useable on a tablet? I suspect that as you close or put the pad down you unwittingly create one of these silly extra windows and put it full screen. Then when you open again all you have is the one tab and no "merge all windows". Did any users really request this "feature". 588 6

Hope you didn't choose the option then tap Merge " Close All [number] Tabs"option inadvertently.

Definitely haven’t been clicking that. I’m always super careful to make sure to click the merge all tabs option.
